About the Role
We are looking for a highly organized, proactive, and detail-oriented Sales Operations professional to support the Sales and Business Development function across day-to-day operational, administrative, documentation, coordination, and research activities.
The role will act as a key coordination point between the Sales team and internal functions such as Legal, Compliance, Risk, Finance, Product, Technology, Operations, Marketing, and Customer Success, ensuring that sales opportunities move smoothly through the various stages of the commercial and client onboarding process.
The ideal candidate will be strong at follow-ups, documentation, stakeholder coordination, tracking multiple workstreams, conducting research, and ensuring timely closure of action items.
This role is particularly suited to someone who enjoys working behind the scenes to keep the Sales organization organized, responsive, and operationally efficient.
Responsibilities
Cross-functional Sales Coordination & Documentation
- Coordinate with internal departments to support the Sales team in progressing client and prospect requirements.
- Document and coordinate responses across departments, ensuring that information requested by prospects or clients is consolidated and shared within agreed timelines.
- Follow up with stakeholders to ensure timely completion of activities.
- Maintain organized records of sales-related documents, client information, proposals, presentations, meeting notes, and correspondence.
- Maintain standard templates and documentation required by the Sales team.
Contracting & Commercial Operations
- Track the end-to-end contracting process from commercial discussions through execution.
- Maintain a tracker of contracts, amendments, approvals, signatures, and pending actions.
KYB, Onboarding & Go-Live Coordination
- Coordinate and track KYB/KYC and client onboarding activities across relevant internal teams.
- Track onboarding milestones and ensure dependencies are addressed.
- Maintain accurate status trackers and provide regular updates to the Sales team.
- Identify bottlenecks and proactively follow up to unblock onboarding activities.
Invoicing & Payment Coordination
- Coordinate with Finance and Sales teams on invoicing requirements.
- Track invoice generation, submission, payment status, and outstanding actions.
- Follow up with internal and external stakeholders on payment-related issues.
- Maintain accurate records of invoices and payment status.
- Support Sales in resolving administrative or documentation-related payment queries.
Sales Follow-ups & Pipeline Support
- Support the Sales team in preparing for conferences, industry events, client meetings, and institutional engagements.
- Coordinate pre-approved post-event email follow-ups and ensure follow-up actions are tracked to completion.
- Conduct market and account research to support Institutional Sales and Business Development outreach.
Desired Candidate Profile
- 3–5 years of experience in Sales Operations, Sales Coordination, Business Operations, Sales Administration, Commercial Operations, or a similar role.
- Experience in B2B SaaS, Fintech, Payments, Financial Services, Web3, Digital Assets, Custody, or Blockchain.
- Experience working with institutional or enterprise clients.
- Familiarity with CRM platforms such as Salesforce, HubSpot, Zoho, or similar.
- Strong written and verbal communication skills.
